Sending and receiving messages
This article covers the chat area: how to write messages, send media, use private notes, and read delivery statuses.
Write and send a message
Open a conversation and type in the composer ("Type your message here..."), then press send. You can:
- Add emojis with the emoji button.
- Attach images, videos, audio, or documents with the paperclip.
- Record a voice message with the microphone button.
⚠️ File size limits: up to 20 MB for files and 16 MB for videos.
Delivery statuses
Each message you send shows its status:
- Sending: leaving BatZap.
- Sent: delivered to WhatsApp.
- Delivered: reached the contact's phone.
- Read: the contact opened it.
Reply, edit, and delete
Hover a message to open its actions:
- Reply: quote a specific message in your answer.
- Edit message: change one of your own text messages, shown afterward as edited.
- Delete message: remove one of your own messages.
💡 Editing and deleting only work on your own messages and only for a limited time after sending, the same as WhatsApp.
Private notes
Switch on the "Private Note" toggle to write an internal note instead of a message.
Notes are visible only to your team and are never sent to the contact. Use them for context, reminders, or handoffs.
Media and special messages
BatZap shows images, videos, audio, documents, and stickers inline. It also supports:
- Contact cards: shared contacts, with an option to start a conversation with that number.
- Polls: create a poll with multiple options from the composer.
Some WhatsApp message types cannot be shown in the dashboard. When that happens you will see "Message not supported", asking you to check your phone.
When you cannot send
If WhatsApp is disconnected or no number is synced, the composer is disabled and tells you to reconnect or connect a number. See Connecting your WhatsApp number.
