Using the Inbox

The Inbox is where your team reads and replies to every WhatsApp conversation. This article covers finding conversations, assigning them, and tracking their status.


Find conversations


Use the filters at the top of the conversation list:


  • All: every conversation.
  • Individual: one-on-one chats only.
  • Group: group chats only.
  • Unassigned: conversations with no one assigned.
  • Assigned to me: conversations assigned to you.
  • Favorites: conversations you starred.
  • Assigned to (member): pick a teammate to see their conversations.


Use the "Search conversations..." box to find a chat by contact name or phone number.


Assign conversations to your team


Open a conversation and use the "Assigned to" menu in the chat header to assign it to a teammate or leave it "Unassigned".


Assigned conversations show the person's initials in the list, so your team always knows who owns each chat.


Track conversation status


Set a status from the chat header so your team knows where each conversation stands:


  • Open: active and needs attention.
  • Pending: waiting on something.
  • Resolved: handled.
  • Closed: finished.


When someone resolves or reopens a conversation, BatZap adds a small event in the chat so the team can see what happened.


Stars and mute


Click the star on a conversation to mark it as a favorite and find it quickly under the Favorites filter.


Right-click a conversation to mute notifications for it, or to copy its link and mark it resolved or open.


Unread messages


Conversations with new messages show an unread count. The count clears when you open the conversation.
